Is it worth purchase eAuditor cloud®?

Definitely yes – choosing the eAuditor cloud® solution is a very good and rational approach both from the technical, functional and economic side.

eAuditor cloud® was developed based on the proven version of the on-premise, which has been around for more than 20 years has been successfully operating in hundreds of organizations in Poland and abroad.

The modern cloud version is a natural evolution of this solution, combining its maturity, security and rich features with the convenience of the SaaS model. The cloud version is based on the same key components (agent, server) as the on-premise version. The differences are a new admin console adapted to the cloud version, a suitable configuration to ensure scalability, performance and security in the cloud.

Both versions of eAuditor on-premise and eAuditor cloud® are being developed simultaneously.

Why do organizations with 100-300 computers gain the most?

Medium-sized entities are often unwilling or unable to invest in their own IT infrastructure – servers, database licenses, backups or additional administrative resources. It is with such customers in mind that eAuditor cloud® was developed:

What speaks in favor of?

Technically / functionally

• eAuditor cloud® operates on a SaaS model – that is, it is a hosted solution in the cloud, eliminating the need to maintain your own servers/infrastructure.

• It offers features such as computer and server inventory, software inventory, computer and user activity monitoring, remote management (including remote RTC desktop), task automation (CMD/PowerShell), advanced DLP data protection features, and built-in extensive support for administrator activities with AI assistance.

• The ability to rapidly deploy and scale without a large CAPEX (“Start without CAPEX – rapid deployment”) – which is a big advantage if you don’t want or can’t invest a lot of money in IT infrastructure.

• eAuditor cloud® has appropriate security and compliance features (RODO, ISO 27001, NIS2) which can be important with multiple computers and formal requirements.

Economically

• Monthly/annual payment model (subscription) – facilitates budgeting and reduces investment risk.

• For smaller numbers of computers (up to 100), a free version is available – allowing for scalability and the ability to “step in” with the product in a smaller capacity and then upgrade to a paid version with broader functionality.

Tips

• If you have 100-300 computers, make sure the plan you choose supports the functional range you are interested in.

• Individual plan codes stand for: FREE – free plan, INV – Inventory (inventory of computers and devices), ACT – Activity (monitoring computer and user activity), DLP – Data Loss Prevention. The numbers behind the plan code indicate the amount of disk space in GB included in the plan price. • Free plan is offered only up to 100 computers and has some functional limitations. If you have 250 computers, for example, you must choose a paid plan.

• Plan DLP300 is functionally the broadest plan.

• Subscription costs increase proportionally to the number of computers. For example, the rate of PLN 6.20 per PC/month (for the DLP300 plan) with 250 computers gives a cost of PLN 1,550.00/month net. If you buy a subscription for 12 months, the price is lower by 8.3% and amounts to PLN 17,050.00 net.

Assuming basic and medium needs of the IT department, without gigantic requirements (e.g., super-customizations, ultra-high SLA), then the choice of eAuditor cloud® is reasonable and beneficial.

If choose annual subscription (at a discount of ~8.3%), is the cost is lower i for e.g. 300 computers is: 22.320 zloty × (1-0.083) = 20.460 zloty/year.

Costs eAuditor on–premise

For a local installation, typical cost components are: one-time license + annual maintenance fee + cost of own infrastructure (servers, backups, network) + administration + upgrades.

We assume a very simplified scenario for 150-300 jobs with the eAuditor V9 AI Standard version:

• The license (one-time), e.g., for 150 positions with an analogous functional package, is 78,310 PLN.

• The annual cost of servicing/renewal license is 17.800 PLN license value (payable from the second year).

• Infrastructure: server + backups + network + space in the server room – it can be PLN 5,000 – 10,000/year (depreciation).

• Administration (IT team) costs are usually already there, but you have to factor in their work to maintain the on-premise solution (time, patching, backups, hardware).

• In a perspective of 3-5 years, an on-premise solution may be viable if the organization very large and already has the infrastructure – for 150-300 workstations perhaps the advantage of the cloud.

Estimate: If we assume a one-time license, e.g. PLN 78,310 for 150 workstations + annual software maintenance of PLN 17,800 + depreciation of PLN 5,000/year + personnel costs of PLN 36,000/year= initial investment of PLN 78,310 plus annual other costs, the total cost over 5 years will be 354,510 PLN.

Conclusions and what the numbers mean

• In the cloud model: for 150 computers the cost is 11,160 PLN/year, for 300 computers – 22,320 PLN/year (or ~£20,460 with an annual subscription).

• In the on-premise model: large initial cost + annual maintenance costs; may be higher in the first years, and there may be an economic advantage only at very large scale or when the infrastructure is already available and used.

• If you have 100-300 computers, the cloud model seems to make economically sensible: low CAPEX (virtually no investment in hardware/server for the solution itself), easy scalability, quick deployment.

• Over time, if the number of workstations increases significantly beyond 300-500 or the requirements are very specific (e.g., private cloud, very high backup requirements, in-house server rooms) it is worth making the comparison again.

2. the main source of savings in the cloud is the lack of large CAPEX (one-time licenses + servers), no hardware depreciation and lower administrative costs (the SaaS provider takes on some of the maintenance responsibilities).

3 On-premise can only pay off at very large scale, with very specific requirements (e.g., requirement to keep data only locally, very high SLAs, custom integrations), or if the organization already has strong, unencumbered hardware resources and staff.

4. other factors (beyond pure TCO) that are worth considering: compliance requirements (data localization), security policy, Internet connectivity availability, integrations with internal systems, DLP / monitoring / archiving requirements.

Practical recommendation
